Managing Administrator

Responsibilities of Managing Administrator

  • Responsible for conceiving, developing, and implementing the artistic vision and focus of the theatre company with Board approval.
  • Handles production functions of the theater with attention to the details necessary to produce the theatre series including obtaining show rights, securing music materials, selecting contracted personnel, and overseeing the administration of the contracted personnel including, music director, stage manager, creative team (lights, sound, costumes etc.) in a timely manner.
  • Participates in the annual budgeting process and ensures that production expenses are in line with budget and receipts and expenditures are turned into the appropriate administrative staff in a timely manner.
  • Mandatory monthly meetings with the Senior Center for the Arts Board of Directors and committees to achieve the goals of the theatre. Exceptions with prior board approval.
  • Represents the Senior Center for the Arts and The Larry Keeton Theatre within the community. Promotes events and activities of the theatre.
  • Responsible for overseeing the promotion of all auditions and news updates throughout the theatre season via hard materials, website, and social media.
  • Create the organization’s program, i.e., selecting the shows that will be performed during the season. This is done in cooperation with the SCA’s Board of Directors. Finalized season show recommendations must be submitted to the Senior Center for the Arts Board of Directors by December 31st of each year. Show programs should be peer reviewed prior to printing release.
  • The Managing Administrator is encouraged to direct one show per season without additional compensation to ensure continuity.
  • The Managing Administrator will function as a resource for the directors who are working to stage productions at the theatre and can provide support, counsel, and/or artistic input. The Managing Administrator will facilitate setting up and overseeing the pre-production meeting with all paid support staff including, but not limited to, Lighting Designer, Sound Engineer, House Manager, Set Designer, Costumer, Stage Manager, Musical Director, and Choreographer. The Managing Admin is required to do weekly check-ins with the show director and production crew.
  • Attendance is required during tech week, for opening night, show closing, and strike night. The Managing Administrator must ensure that all the house and backstage facilities are cleaned and returned to their condition suitable for the upcoming production. Exceptions with prior board approval.
  • The Managing Administrator is required to attend a minimum of one rehearsal per week to be available to questions from cast, crew, and production staff. We recommend an “in office” schedule of availability.
  • Communication receipt acknowledgements are required within the same business day.
  • Distribute position descriptions to appropriate production staff and obtain signatures from everyone. The Managing Administrator is required to attend the first cast read-through and distribute the House Rules and Expectations document and get signatures from every
    cast and crew member. These will be kept on file in the SCA office.
  • Selection and coordination of menus with Donelson Cafe & Catering management.
  • Adherence to the House Rules and Expectations document is mandatory.
  • Works collaboratively with the Director and Designers to fulfill the vision or concept of the Director’s vision of the production.
  • All fundraising efforts must be board approved.
  • The Managing Administrator may not hold more than two paid or unpaid roles for any show during the preparation or presentation of the show. Including but not limited to managing administrator duties, cast and crew of individual shows

The Managing Administrator will be permitted to participate in productions as long as it does not interfere with the responsibilities stated above. The Managing Administrator contract requires at the close of each show, all paperwork must be turned in by end of strike so timely payments can be rendered.
